Booking Confirmation & Deposits
All event bookings are subject to venue availability and written confirmation by Mississauga Convention Centre.
A signed Event Agreement and the applicable deposit are required to secure your event date.
Events Scheduled More Than Six (6) Months After Contract Date
- A non-refundable deposit of $3,000 per event room is required upon signing the Event Agreement.
- Within 90 days of the Contract Date, the deposit must equal 50% of the total contracted event value.
- The remaining balance must be paid no later than fourteen (14) days prior to the event.
Events Scheduled Within Six (6) Months of Contract Date
- 50% of the total contracted event value is required immediately as a non-refundable deposit.
- Final payment is due no later than fourteen (14) days before the event.
Payment Methods
All invoices are issued in Canadian Dollars and are subject to applicable taxes.
Mississauga Convention Centre accepts the following payment methods:
- Credit Card (Visa & Mastercard)
- Bank Draft
- Wire Transfer
- Cash
- Email Transfer (only with prior written approval)
Please note:
- American Express is not accepted.
- Email Transfers are accepted only in exceptional circumstances and remain subject to MCC approval.
Food & Beverage Guest Count (Attrition)
Guest count reductions after signing the Event Agreement are considered Attrition.
Permitted Guest Count Reduction
The contracted guest count may be reduced by up to twenty-five (25) guests without penalty.
Additional Guest Count Reductions
If attendance decreases by more than 25 guests, the Client will be charged for each additional reduction.
The charge will equal:
50% of the contracted food and beverage cost per guest for every guest below the permitted reduction.
Guest Count Confirmation
Final guest counts must be submitted no later than fourteen (14) days before the event.
Failure to provide a final guest count may result in billing based on the original contracted attendance.
Exceptional Circumstances
Mississauga Convention Centre may, at its sole discretion, waive or adjust attrition charges in situations involving unforeseen circumstances beyond the Client’s reasonable control.
Late Payments
Failure to make payments by the required deadlines may result in interest charges.
Outstanding balances are subject to:
- 5% monthly interest
- Equivalent to 60% annually
Interest will accrue from the original payment due date until payment is received in full.
Deposits & Cancellation Policy
All deposits are:
- Non-refundable
- Non-transferable
Written cancellation notice must be submitted to Mississauga Convention Centre.
Failure to make scheduled payments may be considered a cancellation.
Cancellation Fees
| Time Before Event | Cancellation Charge |
| More than 8 months | 35% of contracted event value |
| 8 months to 3 months | 50% of contracted event value |
| 90–31 days | 75% of contracted event value |
| 30 days or less | 100% of contracted event value |
Changes to the scheduled event date or event duration may be treated as a cancellation and may result in additional cancellation fees.
Event Space Allocation & Capacity
Event layouts and floor plans must be approved by Mississauga Convention Centre before the event.
Clients are responsible for ensuring guest attendance remains within approved occupancy limits.
If attendance exceeds approved capacity, MCC reserves the right to require additional security personnel at the Client’s expense.
Mississauga Convention Centre also reserves the right to relocate an event to another ballroom or event space if operationally necessary or better suited to the event requirements.
Should the Client request an additional ballroom or event space after the Event Agreement has been signed, additional rental charges will apply, subject to availability.
Setup & Décor
Final room layouts and décor plans must be submitted for approval at least fourteen (14) days before the event.
The following policies apply:
- All décor must be free-standing.
- Nothing may be suspended from ceilings.
- Decorations may not be attached to walls without prior approval.
- Confetti, glitter, rice, paper streamers, and similar materials are prohibited.
- Clients are responsible for any cleaning or repair costs resulting from prohibited décor.
- Candles must be enclosed in approved glass containers.
- Open flames are not permitted unless specifically approved.
- Floral arrangements should be fully assembled prior to arriving at the venue whenever possible.
Price Adjustments
For events scheduled more than six (6) months after the Contract Date, pricing may be subject to adjustment.
If pricing changes become necessary:
- Mississauga Convention Centre will provide written notice at least fourteen (14) days before the event.
- Price increases will not exceed 7% of the contracted per-person package price.
- Where possible, comparable menu alternatives may be offered to maintain the original contracted price.
- Clients may also choose to retain their original menu package by accepting the applicable price adjustment.
Vendors & Suppliers
All third-party vendors requiring access to Mississauga Convention Centre must receive prior written approval from the Event Manager.
Mississauga Convention Centre reserves the right to refuse access to any vendor at its sole discretion, regardless of whether the vendor has previously worked at the venue.
Clients are responsible for ensuring their vendors comply with all venue policies.
Vendor Responsibilities
Approved vendors must:
- Remove all equipment, materials, décor, and packaging immediately following the event.
- Leave the venue in its original condition.
- Comply with all loading, unloading, and venue access requirements.
Failure to remove materials may result in additional cleanup or disposal fees.
Vendor Insurance
All third-party vendors performing services on-site must carry valid liability insurance.
Proof of insurance may be requested prior to the event.
Minimum coverage required:
$2,000,000 Commercial General Liability Insurance
Liability
Mississauga Convention Centre is not responsible for the performance, conduct, reliability, or actions of third-party vendors hired by the Client.
The Venue accepts no liability for:
- Vendor delays
- Vendor cancellations
- Vendor negligence
- Vendor workmanship
- Damages resulting from third-party services
Clients assume responsibility for all vendors they retain.
Walls, Floors & Building Attachments
Nothing may be:
- Nailed
- Screwed
- Stapled
- Glued
- Taped
- Pinned
- Affixed
to any:
- Walls
- Ceilings
- Floors
- Windows
- Doors
- Columns
- Furniture
- Fixtures
without prior written approval.
Clients are responsible for all damage resulting from unauthorized installations.
Draping & Fabric Installations
All draping, fabrics, and soft goods must comply with the Ontario Fire Code.
Fire-retardant certification must be submitted to the Event Manager at least fourteen (14) days prior to the event.
Nothing may obstruct:
- Emergency exits
- Fire extinguishers
- Fire alarms
- Exit signage
- Other life safety equipment
Event Signage & Vinyl Graphics
Custom signage, decals, and vinyl flooring installations require prior approval.
Installation must be completed by an approved supplier unless otherwise authorized.
If a non-preferred supplier is approved:
- Installation may only occur during approved access times.
- A venue supervisor must be present throughout installation and removal.
- Additional supervision fees may apply.
- All vinyl must be completely removed immediately following the event.
Any damage resulting from installation or removal will be charged to the Client.
Smoking & Special Effects
Smoking and vaping are strictly prohibited inside the venue.
Open Flames
Open flames are prohibited unless specifically approved by the Venue.
Where permitted:
- Candles must remain inside approved glass containers.
- The flame must remain below the rim of the container.
- Additional fire safety measures may be required.
Battery-operated candles are encouraged whenever possible.
Fireworks & Pyrotechnics
Fireworks, pyrotechnics, and similar special effects are prohibited unless approved in writing.
Additional fire permits, security personnel, and fire system bypass charges may apply.
Propane & Compressed Gases
The following are prohibited unless specifically approved:
- Propane
- Butane
- Compressed gas cylinders
- Flammable gases
Confetti & Organic Materials
The following are prohibited:
- Birdseed
- Sand
- Dirt
- Loose organic materials
- Similar decorative materials that may damage the venue
Haze & Fog Machines
Haze or fog effects require:
- Prior approval
- Use of the Venue’s preferred audiovisual provider
- Fire system bypass where required
Additional charges may apply.
Additional Guest Tables
If additional tables are requested during the event that were not included in the original setup, the following charges apply:
- $250 per additional table
- Applicable per-person food charges for additional guests
This fee covers:
- Labour
- Additional setup
- Service adjustments
- Event disruption
Alcohol & Beverage Service
Mississauga Convention Centre is a fully licensed establishment.
All alcohol service is managed in accordance with Ontario liquor laws.
Outside Alcohol
Outside alcohol is prohibited unless specifically approved in writing.
Where approval is granted, the Client must provide proof of lawful purchase through the LCBO or another authorized retailer.
Outside Catering
Outside food or catering is not permitted without prior written approval.
Approved caterers must:
- Carry valid liability insurance
- Prepare food in licensed commercial kitchens
- Follow all venue operational procedures
Where outside catering is approved, Landmark Fees apply:

Mandatory Security
Security personnel are mandatory for all events where alcohol is:
- Served
- Sold
- Available
Only MCC-approved security providers may be used unless otherwise authorized.
Minimum Security Requirements

Mississauga Convention Centre reserves the right to require additional security based on:
- Event type
- Alcohol service
- Duration
- Guest demographics
- Risk assessment
- Entertainment
- Previous event history
Failure to comply may result in:
- Suspension of alcohol service
- Event delays
- Event cancellation
- Additional charges
Minors
The Client is solely responsible for the supervision, safety, and conduct of all minors attending the event.
Mississauga Convention Centre assumes no responsibility for supervising children and shall not be liable for any injury, loss, or damage involving minors while attending the event.
Parents and guardians are expected to ensure children remain supervised at all times.
Music Licensing (SOCAN & RE:SOUND)
The performance of live or recorded music at events may be subject to licensing fees under applicable Canadian copyright legislation.
Where required, SOCAN (Society of Composers, Authors and Music Publishers of Canada) and RE:SOUND licensing fees will be applied in accordance with current tariffs.
Your Event Manager will advise you of any applicable licensing fees prior to your event.
Audio Visual Services
Mississauga Convention Centre partners with preferred audiovisual providers to support presentations, conferences, weddings, and special events.
Clients requiring:
- Sound systems
- Projection
- LED displays
- Stage lighting
- Video production
- Live streaming
- Hybrid event technology
should coordinate these services through the Venue or an approved audiovisual provider.
Outside AV suppliers may require prior written approval.
Rigging
Any equipment suspended from ceilings, trusses, or structural elements requires prior written approval.
All rigging installations must:
- Be completed by an approved rigging contractor.
- Meet all applicable engineering and safety standards.
- Be submitted for review before installation.
Additional labour and equipment charges may apply.
Electrical Services
Temporary electrical services and additional power requirements must be arranged in advance.
Clients are responsible for advising the Venue of any:
- High-power equipment
- Exhibitor electrical needs
- Entertainment requirements
- Specialty equipment
Additional charges may apply for temporary electrical installations or dedicated power services.
Marketing & Logo Usage
Mississauga Convention Centre’s name, logo, trademarks, and branding may not be used without prior written permission.
Clients may reference the Venue name solely for the purpose of identifying the event location.
The use of MCC branding must not imply sponsorship, partnership, endorsement, or affiliation unless expressly authorized.
Social Media
Clients and vendors are encouraged to share event experiences responsibly.
Mississauga Convention Centre reserves the right to request removal of any social media content that:
- Misrepresents the Venue
- Contains false or misleading information
- Infringes intellectual property rights
- Damages the Venue’s reputation
With the Client’s written consent, MCC may feature event images or venue setups on its website, social media channels, and promotional materials.
Health & Safety
The health and safety of guests, staff, and vendors is a priority.
Mississauga Convention Centre reserves the right to prohibit or discontinue any activity that may:
- Endanger guests
- Damage property
- Violate health or safety regulations
- Interfere with Venue operations
Service animals are permitted in accordance with applicable legislation.
Except for approved service animals, pets and other animals are not permitted inside the facility.
Fire Code & Emergency Procedures
All events must comply with:
- Ontario Fire Code
- Municipal Building Codes
- Public Health Regulations
- Emergency Management requirements
The following are strictly prohibited unless specifically approved:
- Open fires
- Fireworks
- Pyrotechnics
- Hazardous materials
- Activities that obstruct emergency exits or fire safety equipment
Any fines, penalties, damages, or costs resulting from violations shall be the sole responsibility of the Client.
If emergency services are dispatched due to the actions of the Client, guests, or vendors, all associated costs may be charged to the Client.
Property Damage
Clients are responsible for exercising reasonable care while using the Venue.
The Client is liable for any damage caused by:
- Guests
- Vendors
- Contractors
- Performers
- Decorators
- Event staff retained by the Client
Damages may include, but are not limited to:
- Furniture
- Flooring
- Walls
- Fixtures
- Equipment
- Audio visual systems
- Decorative finishes
A minimum repair charge of $250 may apply, with additional charges based on the actual cost of repair or replacement.
All personal property, décor, gifts, equipment, and materials must be removed immediately following the event unless otherwise arranged.
Force Majeure
Neither Mississauga Convention Centre nor the Client shall be liable for delays or failure to perform obligations resulting from circumstances beyond their reasonable control.
These circumstances may include, but are not limited to:
- Natural disasters
- Severe weather
- Government regulations
- Public health emergencies
- Pandemics
- Labour disputes
- Utility failures
- Civil disturbances
- Terrorism
- Acts of war
- Other unforeseen events that make performance impossible or impractical
Where possible, both parties will work together in good faith to reschedule or modify the event.
Indemnification
The Client agrees to indemnify, defend, and hold harmless Mississauga Convention Centre, its owners, affiliates, directors, officers, employees, contractors, and agents from any claims, liabilities, damages, losses, expenses, or legal costs arising from:
- The Client’s negligence
- Breach of the Event Agreement
- Actions of guests or vendors retained by the Client
- Property damage
- Personal injury
- Failure to comply with applicable laws or Venue policies
This indemnification survives the completion or termination of the event.
